Put approval information where the recipient can find it
Keep one event-information page with the organiser, funding or sponsor involvement, programme, location, timings, pass price and everything included in the invitation. Someone forwarding it to a manager should not have to assemble the facts from a series of promotional emails. Explain whether the pass is provisional, whether substitutions are possible and what happens after registration. Use a plain subject line and link to the organiser's registration page, with the eligibility rules and a contact route that the recipient can verify.
The UK Civil Service Code restricts benefits that could reasonably be seen to compromise judgement or integrity. It concerns the UK Civil Service. Other public bodies and countries have their own rules, so let the recipient confirm the applicable approval process and provide clear hospitality information. A complimentary pass may still need approval.
Find the relevant service responsibility
Separate the organisation types that matter to the programme. Depending on its subject, these could include central or local government, public agencies, education, health services or publicly owned infrastructure. Identify the function within them, such as policy, digital services, estates, procurement, finance or frontline delivery. These are audience categories to consider; they imply no existing Summitrix client relationship.
Public professional information should establish why a person's current remit is relevant. Keep the organisation, function, source and date of the check. A service lead may bring the operational knowledge the programme needs even when a more senior colleague appears on the general leadership list.
Research should concern the person's professional responsibilities. Do not collect political views or infer private preferences to personalise an invitation. When someone changes roles, check their relevance again before sending another invitation.
Check whether this is formal procurement engagement
Record the event's purpose: a learning session, policy discussion, commercial conference or an authority's procurement activity. A supplier's industry forum and formal engagement run by an authority need different descriptions. Confirm who is organising the event before copy suggests any official status.
The Cabinet Office's guidance on preliminary market engagement explains that engagement under the Procurement Act 2023 must not create an unfair supplier advantage or distort competition. It also explains the role of notices. That guidance addresses a specific procurement process; it does not make every conference attended by public-sector employees part of such a process.
For formal market engagement, the authority's commercial team should approve the invitation route, participation criteria and shared information. Refer procurement questions through its approved process. Invitations must not promise privileged contract access, imply that a paid pass improves tender prospects or invent an exclusive relationship with an official.
Handle registration and follow-up with the organiser
Ask only for the registration information needed, with a suitable private route for accessibility requests. Sensitive operational information does not belong in an ordinary event form. If security arrangements require additional checks, the organiser should explain them and manage them through its approved process. Agree how to record people awaiting internal approval, confirmed registrations and declines. Follow-up should reflect that state. Use a reasonable schedule, stop invitations after registration and never treat silence as consent or a reserved place.
Report coverage by the agreed service functions and organisation types, keeping invitations, replies, approved registrations and verified attendance distinct. Approval delays may help the organiser plan the next campaign, but the report should not publish individuals' personal explanations. Preserve an accurate record of the offer and the information supplied throughout the invitation process.
